Your role on the team: (job description)
- Maintains C-Suite members' calendars and schedules
- Efficiently identifies process improvement opportunities and solves issues (i.e., calendar conflicts)
- Prepares and issues communication pieces on behalf of C-Suite members.
- Owns creation and preparation of PowerPoint presentations for leadership meetings such as quarterly business reviews and customer facing presentations.
- Schedules travel arrangements - domestic and international.
- Manages contract process including coordination of Company signatures, electronic and original record-keeping, dispersal to appropriate parties, and follow-up on external signatures.
- Edits, compiles, and distributes quarterly packages to the Board of Directors in advance of board meetings.
- Prepares and records expense reports for executive management team members on a timely basis ensuring ethical and global compliance.
- Monthly invoicing and accruals, raising requisitions and purchase orders according to corporate authority matrix.
- Manages/tracks procurements in support of projects and creates Purchase Orders within the procurement management system.
- Ensures that an optimal level of office supplies, letterhead, and envelopes for assigned management team is maintained.
- Plans and facilitates meetings as needed including but not limited to communicating with attendees, setting up the room, ensuring equipment and supply needs are met, and having refreshments and/or meals available as needed.
- Performs administrative tasks such as arranging meetings and/or conference calls, developing agendas, answering routine questions, preparing correspondence and progress reports, and participating in event coordination.
- Moderates’ meetings by monitoring attendees and keeping the meeting on task and on schedule; documents meeting notes.
- Supports implementation and training of new software initiatives.
- Provides additional administrative support to others or with other tasks as assigned.
- Provides back-up relief to the Receptionist as needed.
What you need: (requirements)
- Minimum 5 years experience supporting executive leadership in an administrative capacity
- PC proficiency to include strong Microsoft Office skills with Word, Outlook, Excel and PowerPoint
Bonus if you have: (Preferred requirements)
- Excellent written and verbal communication skills and organizational skills
- Ability to type 65 WPM
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions,
- and procedure manuals
